NDIS Planning Meeting Checklist
Walking into an NDIS planning meeting unprepared can mean missing out on the supports you need. This comprehensive checklist helps you organise everything beforehand — from documents to goals to the questions you should ask.
Why Preparation Matters
A Strong Meeting Means Better Support
The NDIS planning meeting is where your supports are decided. Being organised beforehand directly impacts the funding and services you receive.
Don't Miss Critical Documents
NDIS planners need specific evidence — medical reports, therapist letters, and carer statements. Missing paperwork means delays or reduced funding.
Set Clear, Measurable Goals
Vague goals get vague funding. When you can articulate exactly what you want to achieve, planners can match supports precisely to your needs.
Ask the Right Questions
Understanding how funding categories work, what flexibility you have, and how reviews happen protects you from running out of funds mid-plan.
Feel Confident Going In
Walking into a meeting prepared changes the whole dynamic. You'll speak with clarity, negotiate better, and leave knowing you covered everything.
Bring Your Support Network
A carer, advocate, or support worker at your meeting can speak to your needs from their perspective — often uncovering needs you might overlook.
Plan for the Full Year
NDIS plans run 12 months. Thinking ahead about seasonal needs, health changes, and life transitions ensures your funding covers the full journey.

Pro Tips
Make the Most of Your Meeting
Six practical tips from our team and experienced participants to help you walk out of your planning meeting with the best possible outcome.
Start Early
Don't wait until the week before your meeting. Begin gathering documents and thinking about goals at least 2–3 weeks ahead.
Write Everything Down
Keep a notebook or document where you jot down daily challenges, support gaps, and goals as they come to you over the weeks.
Talk to Your Current Providers
Ask your existing therapists and support workers for written summaries of your progress and recommendations for future supports.
Record or Take Notes
Ask to record the meeting (NDIS allows this) or bring someone to take notes. You'll want to review what was discussed later.
Be Honest About Struggles
It can feel uncomfortable, but planners need to understand the full picture — including the hard days — to allocate appropriate funding.
Follow Up in Writing
After the meeting, send a summary email confirming what was discussed and any agreed actions. This creates a paper trail.
